Privacy Policy

How Trailwren handles account information, business documents, and payment data.

1. Who operates Trailwren

Trailwren is operated by Trailwren. For privacy questions and requests, contact contact@trailwren.com.

This policy covers the Trailwren website and application. Payment services and other external services also have their own privacy policies.

2. Information we handle

Account information includes your name, email address, password hash, and account timestamps. We also receive information you submit to the waitlist or when requesting support.

Customer content includes uploaded business documents, filenames, extracted text, project details, generation instructions, and generated SOPs, CRDs, playbooks, and runbooks.

Billing records include subscription identifiers, selected plans, subscription status, renewal or end dates, and generation usage. Infrastructure may process request metadata and operational logs; logs may include document-processing or generation content.

3. How we use information

We use information to create and authenticate accounts, store and process documents, generate requested documentation, manage subscriptions and plan allowances, send service emails, respond to support requests, and operate and protect the service.

Depending on the activity and applicable law, processing may be necessary to provide the service, meet legal obligations, pursue legitimate operational and security interests, or act on your consent. A consent-based activity can be withdrawn without affecting earlier lawful processing.

4. Services that process information

Uploaded files are stored using Cloudflare R2 in the configured service. A document-extraction service processes files to obtain text. Extracted text and generation instructions may be sent to Google Gemini and, when used as a fallback, Anthropic Claude to generate your requested output.

Resend processes information needed to deliver account, waitlist, and document-processing emails. Hosting, database, and queue services support the operation of Trailwren.

Content sent to AI providers is subject to their applicable service terms and account settings, including their data retention and processing practices.

5. Payment information

Lemon Squeezy acts as merchant of record and handles checkout, payment methods, recurring charges, tax processing, refunds, and payment disputes. Trailwren does not collect or store full card numbers or security codes through its own application forms.

Trailwren receives subscription and billing information needed to manage access. Payment information submitted in Lemon Squeezy checkout is governed by its privacy practices.

6. Cookies and browser storage

The application uses essential authentication cookies to maintain your session. Interface preferences may also be stored in your browser. External checkout and infrastructure providers may use their own cookies.

7. Retention and deletion

Account records, customer content, and billing information are retained to operate the service and meet applicable obligations. Retention depends on the type of information, the purpose for which it is held, and applicable legal requirements.

Deleting an item from the interface may remove its application record without immediately erasing copies in object storage, logs, or backups. Contact us to request account or content deletion; we will explain applicable retention requirements and limitations.

8. Your choices and rights

Depending on your location and applicable law, you may have rights to access, correct, delete, export, restrict, or object to processing of personal information, withdraw consent, and complain to a relevant data protection authority.

Send requests to contact@trailwren.com. We may need to verify your identity before acting on a request. If you upload information about other people, ensure you have authority to provide it and give any required notices.

9. Security and international processing

Trailwren uses authentication and access controls to protect information, but no service can guarantee absolute security. Do not upload information you are not authorized to share with the service and its processing providers.

Information may be processed outside your country by service providers. Contact us for information about the providers that process your data.

We will update this page when our practices change and provide additional notice where required.
